How do I set up Outlook 2024?
This guide walks you through the process of adding an IMAP email account in the current version of Microsoft Outlook, which is part of Microsoft 365 and Office 2024. IMAP (Internet Message Access Protocol) is a standard protocol that allows you to access your emails stored on a mail server.
Preparation
Before you begin, ensure you have the following information to hand. You can usually find this in your account or you may have received it by email. (Look for “IMAP settings”).
- Incoming mail server (IMAP): The name of the server for incoming emails; the default server is
mail.routing.net - Outgoing mail server (SMTP): The name of the server for outgoing emails; the default server is
mail.routing.net - Port numbers: The ports for the IMAP and SMTP servers (e.g., IMAP: 993, SMTP: 465 or 587). You do not normally need this information because Outlook automatically exchanges it with our email server.
- Encryption method: The type of encryption used for the connection (usually SSL/TLS or STARTTLS). You don’t normally need this information because Outlook automatically exchanges it with our email server.
- Username: Your full email address.
- Password: Your email password. You may have assigned a new password; you can also set a new password in your user interface.
The ports to be stored in your email program are determined by the selected type of use for your mailbox (IMAP or POP3) and the desired encryption:
| Protocol | Encyption | Port |
|---|---|---|
| IMAP | SSL/TLS (preferred) | 993 |
| IMAP | STARTTLS | 143 |
| IMAP | none (not preferred) | 143 |
| POP3 | SSL/TLS (preferred) | 995 |
| POP3 | STARTTLS | 110 |
| POP3 | none (not preferred) | 110 |
| SMTP | STARTTLS (preferred) | 587 |
| SMTP | SSL/TLS | 465 |
| SMTP | none (not preferred) | 25 |

You can now sort and categorize emails more efficiently with advanced folders, a focused inbox, and customizable rules. These tools help you quickly prioritize important messages and reduce inbox clutter.
Integrated Calendar and Scheduling
The calendar is fully integrated with email, making scheduling meetings easier. You can view availability, set reminders, and share calendars with colleagues, all without leaving the app.
Improved Search Functionality
Search in Outlook 2024 is faster and more accurate. You can filter results by sender, date, attachments, or keywords, making it simple to locate specific emails even in large inboxes.
Task and To-Do Management

Managing Multiple Accounts
Outlook allows you to connect multiple email accounts, including Exchange, Gmail, and IMAP accounts, within a single interface. This makes it easy to manage work and personal email together. You can assign different signatures to each account, organize messages into account-specific folders, and use rules to automate sorting. Managing multiple accounts effectively ensures you don’t miss important messages and helps keep your workflow organized.
Security Tips for Outlook
Keeping your emails secure is critical. Here are key measures to follow:
- Enable two-factor authentication (2FA): Adds an extra layer of security by requiring a code in addition to your password.
- Use strong, unique passwords: Avoid reusing passwords across multiple accounts.
- Be cautious with attachments and links: Only open files or click links from trusted sources.
- Update Outlook regularly: Security patches and updates protect against vulnerabilities.
- Use built-in encryption and protection features: Outlook provides tools for sending encrypted emails and detecting phishing attempts.
Customizing Your Outlook Experience
Outlook 2024 lets you personalize the interface to match your workflow. You can change the layout to highlight your most-used features, create rules to automatically organize incoming messages, and use categories or color codes to quickly identify emails. Customizing notifications and setting up quick-access buttons for common tasks can also help save time and make daily email management more efficient. Understanding and tailoring these settings allows you to work smarter, not harder.
