What should I consider when forwarding to Gmail/Googlemail addresses?

If you use centralized management of your email accounts via an email collection service such as Googlemail or GMX, it is imperative that, when setting up in the email interface, the mail.routing.net servers are explicitly referenced for mailboxes hosted with us. Sending via external mail servers results in error messages and, in many cases, the receiving server rejects the message for security reasons.

Why is this so? As with many providers, SPF records are configured for our mail servers. SPF stands for “Sender Policy Framework” and is a spam protection device used for sender authentication.

SPF records define which servers are allowed to send emails from the mailboxes. The receiving server checks whether the received email comes from one of the authorized mail servers. If the SPF record information matches the sender information in the email, the email is delivered. Otherwise, it is treated as spam and either marked accordingly or rejected directly.

The same applies to incoming emails, which our servers also check against existing SPF records. For example, if a Googlemail sender sends via servers that are not authorized to send Googlemail, the email is rejected by our servers as spam.

Using GSuite as email software often presents an additional problem: when you send emails via GSuite, the program connects each time from a different IP address, which may also include connections from different countries. Since this behavior is not normal for an email program and generally indicates that the mailbox has been hacked and exploited by spammers, it may happen, depending on the number of emails sent, that your mailbox is quickly blocked for sending emails for security reasons.
