How to create a new email address?

To create a new email address in the client portal, proceed as follows:

  • Select “Products” in the menu on the left.
  • In the “Products” menu, select the “E-mail” sub-item.
  • In the “Email addresses” section, choose “Set up a new email address”.

When you create a new email address, you have a choice of different products, some of which may be chargeable. Any fees will be displayed when selecting the product and also during the ordering process. If you use a hosting.fr web hosting package and there are still quotas available, the product will be displayed as “Free” after selecting the corresponding web hosting package.

The following products are available:

  • Mailing list: A mailing list is a special email address that groups a number of “subscribers”. An email sent to the mailing list address will always be redistributed to all subscribers of the list, similar to a forward with multiple recipients. This also applies to recipients’ replies if the corresponding mailing list option is enabled.
    The difference with a newsletter mailing list is that in a mailing list, each member can communicate with all other members of the list without having to address them individually or know the email addresses of other members. A newsletter mailing, on the other hand, is generally one-way communication, where only the administrator regularly sends messages to subscribers.
    The use of webmail is not possible with a mailing list address.
  • IMAP/POP3 mailbox: This is a complete mailbox, which can initially contain up to 1024 MB of data. If you need more storage space, you can always purchase additional capacity. The use of webmail is possible with IMAP/POP3 mailboxes.
  • Catch-All mailbox: This collection forwarding method receives all emails addressed to a domain and sent to an undefined address within a domain. This includes, for example, unconfigured recipient addresses or addresses with typos. The use of webmail is not possible with a Catch-All address.
    Catch-All addresses ensure that you do not miss any misaddressed emails, but they place a heavy load on the server and make it easier for spammers, as all email traffic is accepted. Therefore, it is advisable to weigh the pros and cons of using such a collection function.
  • Forwarding: A forwarding email address only sends incoming emails to another real mailbox. Forwarding addresses cannot use webmail. However, within your email program, an internal forwarding address can be configured as an alternative sender (alias) for sending emails via the destination mailbox.
    There is a distinction between external and internal forwards. Internal forwards redirect within the same domain. These are free within a web hosting package and are not deducted from the package’s mailbox quota.
    External forwards send incoming emails to a mailbox with another provider. These are counted in the web hosting package’s mailbox quota and are deducted from it.
  • Microsoft Hosted Exchange mailbox: Exchange is a professional email product developed by Microsoft. In addition to classic email, Exchange also allows the management of contacts, calendars, and tasks. Moreover, Exchange supports the synchronization of mobile clients via the ActiveSync protocol.
    To use all Exchange features, a compatible email client (e.g., Outlook or OWA) must be used. The use of webmail is possible with Exchange mailboxes.

For Catch-All addresses and forwarding addresses, an existing email address must be specified as the target address during the ordering process. For Catch-All addresses, this must be an existing mailbox within the same domain. For forwards, an external mailbox can also be used as the target address.

To create a standard IMAP/POP3 mailbox, proceed as follows:

  • Select “IMAP/POP3 mailbox” in the product selection.
  • If you use one or more hosting.fr web hosting packages, you can select the desired package at this stage. Please note that to create multiple email addresses for a domain, the same package must always be chosen, as a domain name cannot be assigned to multiple hosting packages at the same time.
  • Enter the desired email address and choose from the dropdown menu the domain for which you want to create an email account.
  • Assign a secure password or generate a password via the key icon next to the “Password” field.
  • Repeat the password. (If the password is generated via the key icon, you will have the option to copy it to the clipboard with one click.)

  • If necessary, make additional settings at the next step:
    • If you wish, you can specify a forwarding address here; this will then receive copies of all incoming emails.
      Please note that forwarding will leave all incoming emails in the original mailbox. Therefore, regularly check the contents of the mailbox and delete unnecessary emails.
    • If you anticipate that the standard size of 1 GB will not be sufficient for this mailbox, you can directly book a paid supplement at this stage. The additional fees will be indicated to you during the ordering process.
    • Configure your spam settings for the new mailbox by choosing from the options “low”, “medium”, or “high”. Alternatively, you can choose the “Custom” option and proceed with a detailed configuration. An important option here is, for example, to determine whether spam will be rejected directly by our server or if suspected spam will only be marked as such and still delivered to your mailbox.

  • After completing all settings, select “Order overview”.

  • Check your entries in the following summary and validate the order of the new email mailbox.

If you want to create a mailbox for an externally managed domain, this is also possible. Please manually enter the domain name in the corresponding field. A verification code will now be displayed, which you must enter as a TXT entry in the DNS zone of the externally managed domain before you can finalize the mailbox order. This entry proves that you are authorized to create email addresses on behalf of the domain.

After creating the TXT entry, you can also create email addresses for this domain. Please note that for error-free operation of the mailbox, you must also add the hosting.fr mail servers in the DNS zone of your domain.
